What Budget & Project Monitoring is and how it helps your organisation

At the end of every quarter, the planning division asks each unit for disbursement figures and project progress by email and Excel, then compiles them into one report. By the time a project is seen to be behind plan, the fiscal year is nearly over. Executives receive different numbers from different sources and have to chase the reasons project by project.

The budget and project monitoring system gathers data from every unit automatically, both from the existing finance system and from progress report forms, and shows plan against actuals for each quarter on one page. AI flags projects whose disbursement is behind target together with the reasons reported by the unit, and drafts follow-up letters and executive reports in the format required by central agencies for officers to review before sending.

After go-live, the planning division stops compiling Excel files from many units by hand, executives see the disbursement status and risk of every project at any time, and central agencies receive reports in the required format on time. Khaojai IT designs the monitoring system around your plan structure and connects it to GFMIS or the finance system your agency already uses.

Questions buyers ask before starting

How long does implementation take

It depends on the number of units and data sources to connect. Typically 2 to 4 months, and you can start with key projects or pilot units within the first quarter.

Can it connect to GFMIS, our existing finance system and Excel files

Yes. The system receives data from your finance system or GFMIS through APIs or scheduled export files, and can import Excel files in your current templates during the transition so units do not have to change how they work overnight.

How reliable are the AI alerts and draft reports

AI calculates from the actual data in the system and shows the source of every figure. Draft letters and reports are only drafts that officers review and edit, and executives always sign themselves.

Who maintains the system after go-live

Khaojai IT maintains and improves the system under a maintenance agreement, including updating report formats when central agencies change their templates, while your staff manage users and the plan structure themselves through the settings pages.
